Privacy policy

Keypilot Voice is a desktop application that turns speech into text. This policy explains what the app and our servers handle. It is written to be read, not to be survived.
What stays on your device
- Transcript history, hotwords, replacement rules, shortcuts and preferences.
- Usage statistics and the local database file, stored under your user profile.
- API keys for third-party providers, stored in the operating system keychain.
You can export this data as JSON or delete it from the app at any time. Deleting the app data does not require contacting us.
What we receive
- Account data: your email address, a display name, and the time you created the account. We use it to sign you in with one-time codes and to send service messages.
- Audio while dictating: streamed to our speech provider only while a dictation session is open. Audio is processed for transcription and is not retained by us after the session ends.
- Hotwords: sent alongside audio to improve recognition of names and jargon.
- Usage records: duration, model name, token counts, credit cost and app version for each session, used for billing and for the ledger you can see in the app.
- Technical logs: request identifiers, timestamps and error codes. We do not log request bodies, authorization headers or audio.
Service providers
Transcription and text rewriting are performed by cloud providers acting as our subprocessors. Email delivery for sign-in codes is handled by an email service. Payments, once available, are processed by a payment provider that receives your billing details directly — we never see your card number.
Retention
Account and ledger records are kept while your account exists and for as long as required for tax and accounting obligations afterwards. Audio is not stored. You can request deletion of your account and its records by writing to hello@usekeypilot.com.
Your choices
- Use your own API keys so audio goes directly to the provider you choose.
- Disable history or clear it locally without affecting your account.
- Request a copy or deletion of your account data.
- Withdraw consent for processing by deleting the app and your account.
Children
The service is not directed at children under 13, and we do not knowingly collect data from them.
Changes
If this policy changes in a way that matters, we will email account holders before the change takes effect.
